Document processing and OCR

Is your team copying data from invoices, orders or forms while more documents wait to be processed? We extract the data, validate the fields and pass the results to your ERP, WMS or CRM. Staff can review the results, with agreed exceptions flagged for manual handling.

Discuss document processing

From a document to data in your system

Data from a PDF, scan or photo fills the fields needed for the next step. Staff can check it alongside the document and correct it before saving. The pilot compares total handling time with manual entry, including review and corrections.

What you receive

  • A list of supported documents, fields and validation rules
  • Document reading and classification connected to ERP, WMS or CRM
  • A review interface showing data beside its source and an exception queue
  • A report on accuracy, cost and handling time, including staff effort

Where we can help

Orders and delivery documents

Extract product details, quantities, order numbers and customer details. Match items to your catalogue and prepare data for ERP or WMS.

Invoices and billing documents

Extract agreed fields, check totals and detect duplicates. Discrepancies go to review before data is saved to the destination system.

Forms and correspondence

Classify documents, read fields and assign them to a case. Attachments can feed your CRM or support system.

Getting started and what to expect

You can commission the first stage on its own. We agree on the work and its cost before starting, and you decide what comes next based on the results. If you already have a specification or assessment, we use it to plan the work.

Define the documents, fields and integration

You receive a list of document types and fields, validation rules and a description of how data will reach your system. We identify the sample documents and measurements needed. This defines the work to be priced for the pilot.

A comparison with manual handling

The trial report shows field accuracy, cost per document and time spent reviewing and correcting results. Tests include poor quality documents. You can assess the work saved before extending the scope.

From document intake to saved data

Documents are read, data goes to review and approved results reach your system. Staff have an exception queue and can see processing status. We provide validation rules and tests for adding new formats.

Illustrative example: a short extract for a fictional scenario. It shows how findings can be presented, rather than results from a client project. We agree on the deliverables before work begins.

Can AI prepare data from documents?

The team copies delivery document data into a system. The trial uses AI to prepare this data for an employee to check before saving.

Illustrative result
Legible document: data prepared for review. Unreadable item number: document routed for manual handling. Missing order number: employee input required.
Limits of use
In this scenario, AI proposes the data and a person approves saving it. Incomplete or unreadable documents go to a separate queue.
What determines value
Compare manual entry time with the time needed to review and correct AI suggestions, including processing costs. Reading fields correctly is not enough to justify a rollout.
Recommendation
Continue the trial with human approval. Decide on wider use after measuring the complete task against quality and cost criteria agreed before the pilot.

Frequently asked questions

We can handle different layouts. The pilot tests samples from different senders and identifies formats that need separate handling.

Which documents does your team still process by hand?

Tell us which document types you handle, how many arrive each month and which system needs the data. We’ll help define the first pilot.

After reading your message, we will follow up with questions and suggest a conversation about scope and pricing.
