ChatGPT or Claude for your business: how to choose a tool for your team

Compare ChatGPT and Claude using work your employees actually need to deliver: a comparison of supplier proposals, a customer reply or a report based on documents. Choose the tool that produces correct results with less editing, provided its access controls, costs and data policies meet your business requirements. The brand name alone cannot tell you how well it will handle a particular task or whether you may upload certain documents.

If you organise the team's work, distinguish two decisions: buying a ready-made assistant for employees and building AI into your own system. These are different undertakings. A good result in a chat window is a useful indication, but it does not replace testing automated customer service or document processing within your application.

What are you actually comparing?

ChatGPT is an OpenAI product; Claude is an Anthropic product. This comparison focuses on the applications employees use. An application name does not identify a single, unchanging model version: the selected model, available tools, files and account settings all affect the result. Record the trial date, plan, visible model name or automatic selection mode, and how the task was carried out. You can then refer back to what your choice was based on.

An API connects your company's software to an AI service. A custom integration also needs error handling, permissions, output checks and a maintenance budget. OpenAI's billing documentation distinguishes subscription usage from API pricing. Anthropic also describes separate API billing, although selected plans include API credits. Do not assume that buying seats covers unrestricted use in your own application.

A conversation, a finished file and an action are different requirements

If an employee needs a draft message, assess its content and how easy it is to edit. If they need to deliver a spreadsheet, also check the calculations and whether the file can be edited further. If the assistant will change data in another system, access controls and the consequences of that action become part of the decision. “Helps with analysis” is too vague a purchasing requirement.

In ChatGPT, Work handles tasks involving several steps and produces work for you to review. It can use files and tools made available to it. In Claude, Cowork covers this type of work; availability and limitations depend on the plan and how you use it. As of 15 October 2026, Anthropic is also gradually introducing a shared interface for conversations and tasks. Confirm that the features you need are available on the account you intend to buy.

Before deciding, complete the whole task in both applications, from selecting the documents to opening and checking the result. See whether the employee has to download materials manually, move data between tools or recreate formatting. Those steps may matter more than which response appears first.

Connections to business tools can determine the choice

When the information needed for a task sits in several systems, check the relevant connections on your chosen plan. In ChatGPT Work, access depends in part on organisation settings and the connected account's permissions. Claude's connectors also use permissions from the source account; shared credentials may have broader access than an employee's own account.

Seeing your system's name on an integration list is not enough. Check the specific action: reading a file, finding a message or updating a record. Establish whether the action needs the employee's approval and who can revoke access. If the team's task is simply to draft replies, automatically sending messages is not necessary to achieve it.

One concrete task reveals more than a list of general strengths

Imagine someone buying a service who has received proposals in several files. Prepare materials approved for this use, with differences you already know: implementation cost, subscription fee, delivery date and support coverage. One proposal might omit the delivery date. This is a deliberate test case, not an account of a client project.

The instruction could be: “Compare the attached proposals by implementation cost, monthly fee, delivery date and support. For each item, identify the document and where the information appears. Mark missing information explicitly. Do not add terms that are absent from the proposals. Finish with questions for the suppliers.”

Assess the answers against criteria agreed in advance. Do the amounts match the documents? Has a one-off fee been confused with a monthly charge? Does the missing date remain missing, rather than becoming an invented date? Does the cited location in the document actually support the information? The reviewer needs access to the source materials, not just the assistant's answer.

Apply the same principle to other tasks. For a sales message, check that it does not add a promise absent from the offer. For a report, check that the figures can be reproduced. If your team works in Polish and German, compare those languages separately; an English test does not establish how natural correspondence with your customers will sound.

Do not infer an overall ranking from one successful answer. Repeat the exercise on different typical cases and include incomplete information. Record the time spent preparing the task, checking the result and making corrections. If the assistant merely shifts work from writing to laborious verification, reconsider the task or how it is handled.

Data policies depend on the account and feature

Before sharing documents, agree which account types your business permits, what data may be uploaded and who can access conversations and files. For Claude Team and Enterprise, Anthropic explains how the organisation manages data. Distinguish the terms of a business account from those of an employee's personal subscription. In ChatGPT, the plan, organisation settings and enabled features matter too.

Check training use, storage, deletion and access by connected services separately. An answer to one of these questions does not settle the others. The wording of a generated response also does not prove that it is true or meets your business requirements. Sending text to a second model may help identify an issue, but it does not replace a responsible person checking the sources.

How do you turn the comparison into a purchasing decision?

If ChatGPT produces better results on the agreed tasks and has the necessary, approved connections, it is a justified choice for that scope of work. Likewise, choose Claude if your team gets better results there under acceptable terms. When quality is similar, actual usage costs, ease of administration and the number of manual steps may decide the outcome. Compare limits and fees on the plans your business is actually considering, rather than one provider's free account against the other's business plan.

Buying both tools makes sense when you can identify separate uses that justify the second cost and additional administration. Start by defining the tasks covered by the decision, who reviews results and what would trigger a reassessment. A change in model, plan or access to data may alter your earlier conclusion. For a custom integration, assess API and maintenance costs separately.
